What could a useful first workflow look like?
Imagine a small service business receiving twenty inquiries a day. A workflow could organize those requests, identify missing information, and prepare draft replies for you to review. This is an illustrative example; we first check whether the idea fits your tools and process.
Before expanding, we ask: Is it saving time? Are the drafts accurate? What happens with an unusual request? The workflow should make exceptions visible and give you a straightforward way to step in.
Where business automation can help
A useful starting point is a task with a clear trigger, repeatable steps and a result you can check. Before introducing AI, we look at whether a simpler rule or integration would solve the problem.
- Lead intake: organize an incoming inquiry, prepare a summary and route it for review.
- Document preparation: turn structured information into a draft report, proposal or internal document.
- Operations: move agreed information between existing tools and flag incomplete records.
- Reporting: prepare a recurring summary from an agreed source, with links back to the underlying information.
These are illustrative use cases. They are not claims of completed client projects or guaranteed results.
What the starting project includes
The entry scope covers one agreed workflow and up to two integrations. We define the input, expected output, approvals and exceptions before implementation.
- A map of the workflow and the tools it touches.
- Implementation of the agreed automation.
- Tests using examples and acceptance criteria agreed with you.
- A documented handover explaining operation, changes and common failures.
Subscriptions, hosting, API usage, additional integrations and ongoing support are quoted separately. The final scope, total and delivery timing are agreed before payment.
How we decide what to automate
- Understand the process. Bring an example, the tools involved and the result you want.
- Choose a bounded first step. Agree what success looks like and which actions need your approval.
- Build and test. Check ordinary inputs, missing information and failure cases.
- Hand over. Review the workflow together and document how to maintain it.
Keep access limited to what the workflow needs. For AI-generated outputs, agree where a person must review the result before an external action happens.
Applicable taxes and third-party costs are disclosed before purchase. Review the service terms.
Frequently asked questions
Do I need AI for every automation?
No. Some processes are better served by forms, rules or a direct connection between tools. We choose the simplest approach that meets the agreed need.
Can you work with my current software?
We assess that during scoping. It depends on the software’s integrations, API access, permissions and subscription plan. Compatibility is confirmed before a quote is accepted.
How much time will it save?
That depends on your process and volume. We can agree a baseline and evaluate the result, but do not promise a fixed time saving or revenue increase.
Is maintenance included?
The starting project includes a documented handover. Monitoring, ongoing support and changes after delivery require a separate agreement.
